StateoftheMap Organizing Committee/Minutes/2015/2015-04-20 Meeting Regarding previous minutes: Proposed by Richard, Seconded by Henk. Minutes accepted.

Next meeting

nominally next Thursday. Same time and place(s)

Code of conduct

Via email

Gregory, Rob, Randy and Serge have voiced support of the Geek Feminism CoC example.

Gregory suggests using medium and long form if required.

Serge raises concern over single point of contact and Gregory suggests chain of reporting should go 1) person(s) involved 2) a conference team member (i.e. general volunteers) 3) one of two people, either named like "conference team leader" or identified for this role. Don't have to be named in the CoC if all team members know who they are & tell delegates if asked.

During meeting

Rob wishes to ask are we happy with Gregory’s proposal

Richard reiterates his support of the Geek Feminism CoC

Richard explains that unless there is a central place to record these there is the risk that multiple reports going to different people hides a underlying problematic person.

Options

Gregory made the suggestion that we look at the options available to us.

E.g. Accepting Bucharest & Brussels, do we like that? Accepting just Bucharest, what would the Montreal team and the Brussels team likely do?

Rob has sketched these out into a table:

- Bucharest 2016 Bucharest 2017 Bucharest 2018 Montreal 2016 Montreal 2017 Montreal 2018 Brussels 2016 Brussels 2017 Brussels 2018

Richard states that more than one conference in a year is interesting but not for 2016 as we did not start with that intent. Need to rebuild good will by doing what we said. Also not supporting picking for 2017.

Henk: If we were to have just one conference next year than Montreal would not be an option as we would end up with 2 conferences in america due to the SotM US. Henk repeats that he would like to see Canada but would see it working better as a 2 conference year.

Henk: Would like to see other bids in future years. Would not like to pick 2017 and 2018 now.

Richard: Run one in 2016 and competitive bid for 2017. We could ask for 2 then and encourage existing conferences.

Actions

Rob: Send email to bidding teams to ask for responses to questions by Wednesday
